Medicine system supports mental health services strategy

SAS-based IT solution for medicine monitoring provides Mental Health Services, Capital Region of Denmark, with a total overview of medicine consumption and for the individual patient. Medication with doses above what is recommended has decreased dramatically.

"Since we started tracking medicine prescriptions systematically, our doses for selected preparations have been at a level that is in complete compliance with the guidelines. We now further support this strategic focus with an informative IT system for everyone in the organization. It is crucial that we work with facts and not intuition," says Peter Treufeldt, Chief Medical Officer at Mental Health Services, Capital Region of Denmark. The system is the first of its kind in Denmark and provides an overview for the prescribing physician, for center managers and the entire mental health services area. With just a few clicks, you can obtain an overview of prescriptions for specific medicinal products or drug combinations for the individual patient's medication.

Data hid itself

The historical background is that mental health services discovered that a number of patients were given doses of the antipsychotic drug, Olanzapine, which were too high, and this was an unpleasant surprise. The case made it clear that the organization needed an overview of prescribed medicine and medicine that was given. Medicine is given both as part of a treatment plan and, in acute situations, a number of doctors and nurses may be involved when a patient is hospitalized for a day. Therefore, an overview was not easy to establish in a system that is used to register information on drugs. But the new SAS solution has made this possible. A data warehouse combined with modern software for presenting data now provides a quick overview. Among the most important users are the more than 550 doctors in mental health services.

Quick overview

"Very useful. I use it almost every day, because I am responsible for medicine in my department. I get a quick overview of our consumption patterns. A quick and complete overview based on very precise data," says Peter Jantzen, Consultant Doctor at the Center for Child and Adolescent Mental Health in Glostrup. In addition to the grand overview, he uses the system in conferences about the individual patients. Using a social security (CPR) number, the solution provides the patient's medical history in the form of a bar chart.

The organization's "memory"

"We can use the graphic overview to discuss the effects of different types of medicines and different dosages. We can, for example, talk to a patient about the perceived difference between different treatments. At the same time, it is easier to comply with recommended intervals for dosages and avoid double medication," supplements Inger Merete Terp of Mental Health Services Center, Amager. "We simply get quicker access to the organizations total "memory" with regard to drug consumption."

Doctors save time

Previously, the doctor himself or herself had to search through many screen displays and use up to 15 minutes per patient to get a historical picture. Therefore, for a long time they have wanted to have registered data about medication made easily accessible. Precisely this online overview – based on current data – creates the new system's conference module. The SAS solution is built upon cooperation between the Quality and Development Department of Mental Health Services, Capital Region of Denmark and SAS Institute.

"It has been a great pleasure to work on the project. The way from idea to action has been extremely short, and the SAS consultants were positive and very flexible." says Troels Roesbjerg, Health Information Scientist at Mental Health Services, Capital Region of Denmark. Together with Team Leader Dorte Münter, he has been responsible for the development project, which has had management's full support.
